Simplifying admin for a family electrical business

Founded in 2007, Xceed Electrical is a family-owned and -operated business with over 20 years’ experience in the electrical industry.

Led by husband-and-wife team Jayson and Carla Conceicao, with Carla acting as office manager and handling accounts, the Sydney-based business is committed to delivering the highest-quality electrical services to its customers.

The Conceicaos are constantly looking for ways to enhance the business’s operational efficiency and customer satisfaction. This is why they decided to introduce products from Australian trade management software company Fergus into their workflow.

The challenge

Before adopting the Fergus software, Xceed Electrical faced various challenges in managing its operations.

“We were doing all our invoicing manually,” Jayson said.

The manual process involved tedious paperwork, difficulty in finding customer information, and inefficient job scheduling. These challenges hampered productivity, delayed payments and affected overall business efficiency.

A streamlined solution

The integration of Fergus brought many positive changes for Xceed Electrical, with Jayson noting that the software had made the business more streamlined and profitable.

Fergus centralised all the Conceicaos’ operations, making everything accessible in one place. From creating customer profiles to scheduling jobs and processing payments, this simplified the entire workflow.

Conceicao highlighted the way one feature, Fergus Pay, had transformed the business’s payment process.

“With Fergus Pay, we can take payments straight away at the end of the job. It’s incredibly convenient for both us and our customers,” he said.

This not only improved cash flow but also enhanced customer satisfaction by providing a smooth payment experience.

The results

The adoption of Fergus resulted in several key benefits for Xceed Electrical.

Firstly, the business’s payment tracking and financial monitoring was simplified. The ability to set automatic reminders reduced the stress of daily follow-ups, making financial management more efficient.

“Fergus has made my life easier by keeping track of all the reminders for overdue payments,” Jayson said.

Another advantage was time and cost savings, with Jayson observing that Fergus significantly cut down on administrative work. By automating routine tasks, Fergus freed up valuable time, allowing the Xceed team to focus on delivering exceptional electrical services.

Jayson also praised Fergus’s reporting feature. The simplicity of the reporting tool helped to provide clear insights, making it a valuable asset for Xceed Electrical.

“It helps us to identify how the job’s going and how much profitability we’re making on each job, from our costs to what we project that we’re going to make,” Jayson said.
